Workflows are assigned to workers which assign pre-requisites that need to be ticked off the the student to become an active worker. A workflow in relation to right to work must be added in addition to the payroll workflow and one related to the specific scheme a student is on. This means we can keep track on who has provided proof of ID, a contract, received training etc.

Viewing/Editing Workflows

To see the workflows click on Workers on the task bar and select Workflows from the menu.

All workflows will be listed and you can expand these to see what items are in the workflow. By clicking View and Edit on an individual workflow you can see a description of each step that needs to be taken.

By clicking edit you can adjust the order of the steps, adjust the name or change the description. You can also delete or add steps. When you add a step it will ask you to enter the name of the step and a brief description.

Setting workflow options

When editing a workflow, press Options to bring up the Workflow Options dialogue. From here you can:

  • Apply to all workers as Active or completed
    • This will add this workflow with the given status to all workers across the system.
  • Apply to all new Workers
    • This will automatically add groups to the worker when they sign up using the form.
  • Make a worker inactive until completion
    • A worker cannot be made active until this is completed
  • Set worker active on completion.
    • A worker will be made active when this is completed, if they have no other workflows preventing them being made active, they have a valid contract and are a member of a scheme.
  • Add groups on completion
    • When this workflow is completed, the selected groups will be added.
  • Add workflows on completion
    • When this workflow is completed, add another! This option is a bit meta.

Adding workflows to workers

Find the worker you’re adding the workflows to and select ‘Available’.

Here you select the green plus button to add it to the profile. It will then appear under active workflows. When a step has been completed expand the workflow and tick the box. When all steps have been completed it will move to the completed section.

Active workflows can also be removed by clicking the pink minus button.
