Super Admins have access to the System Admin Console, which contains management of all aspects of the system. There are also important security tools in place, detailed below.

User actions

Access Logs

Super Admins can also view the access log for the system. The access log shows users, their permission level, date access was granted and date revoked if applicable. Who gave the user access can also be seen by clicking the “more” button. Historic rows are shaded grey.

Teams

Super Admins can add and edit Teams on the system. These teams are assigned to users once they are created. Staff can only see their team’s events, unless they are an Administrator or Super Admin.

Session Activity

The activity log details who is logged on/who has logged on, when they logged on and how long their session has been. Anyone can be logged out by clicking “force stop.” This access is only available to Super Admins.

Workers

Pay grades

Super Admins can set and amend pay grades for student workers, as well as the post title of these grades for payroll purposes. These should be listed including Holiday Pay, and with Validity dates.

Groups

Super Admins have the ability for to create and manage schemes, groups and parent groups. Groups represent a wide range of attributes, such as UEA school, or if a worker has a DBS check and can be applied by Workflow or manually.

Parent Group

A parent group is exactly that, its a group which contains other groups! They are created using the + next to the tabs for parent groups.

Schemes

Schemes are a special type of group. If a group is listed as a scheme it shows up in the list of schemes on the filters and sign up form, as well as controlling if a worker is active.

Schools

Schools are filtered separately and sorted by faculty.

Faculties

Faculties are a special kind of parent group, containing only schools. These are listed in the filters as schools and not groups.

Events

Event Categories

Event Categories can be amended and created from here.

Job Types and Categories

Job Types and Categories can be amended and created from here. In summary, a category is Recruitment or Outreach for example, so the broad area of work, where as a type is the nature of the work such as Campus Tour or Office Work.

Shifts

All shifts

Only System Admins have access to this screen, which details all shifts undertaken through this system and acts as a master record.

System Administration

Global System Settings

This is the single most flexible part of the system, and also the single most dangerous to play with. It is equivalent to the Registry in Windows, and these keys are replaced by their values in the back end. For example, inboxes are configured and email headers and footers are stored. Compliance statements can also be amended here.
